Client Visits - List Report

View and edit client visits, view detailed task values and produce invoices

Generating a Report 

1. Click on Reports > Client reports > Visits - List

2. Choose a date period, select a specific client or "all clients" if you need a report of all your clients for a determined period of time.

You can also choose from the different drop down list to filter using:

  • A product or invoice contact

  • Type of report (visit report, detailed visit report or task values report),

  • Type of visits displayed (completed, started, cancelled etc).

3. The following view will display showing all the details about the client's visits.

4. Each line will be a different colour:

  • Green - completed visit

  • Grey - cancelled visit

  • Yellow - visit was started but not completed

  • White unassigned, missed or not updated

Note: Reports can be generated to show upcoming visits, just select the date range in the future. These can then be printed and placed in client's homes if required.


Editing a Report

Click any row within the report (apart from unassigned visits) to edit the details. For example, you can change the status of the visit and override the reported start/end times. You can also change the product/invoice contact of the visit individually.

Once you've made any changes, click "Save", or "Cancel" to leave the visit as it was.


Actions & Settings Buttons

The Actions button has a drop down menu with various options.

  • Print report allows you to print the full report or generate a PDF that you can share. The PDF will be saved in the Download carpet in your computer.

  • Copy to clipboard will copy the entire report to paste into an external document.

  • Create invoice will download the invoice as a PDF file. Read more about creating invoices from here.

The Settings button allows you to customise the information displayed and if the data is in minutes or hours. Just go through the list and make adjustments as needed.

Carer notes reports:

Select from Settings the name of the client, date, start and end time, duration, carer, additional carers and visit notes:

Then you can use the option Copy to Clipboard from the Actions menu and paste this info into a spreadsheet

Cancelled Visits

If you need to see the list of your cancelled visits for a period of time for one client or all clients, select from the Settings menu to see the cancellation reasons and notes and by using the filter of the type of visits, select cancelled visits:

You can also use the options at the bottom of the type of visits drop down list to get other information from the system, like billed time less than 30 min, reported duration differs more than 5% and 50% compared to planned duration, reported start time differs by more than 15 mins compared to planned start time:
