Carer Mobile App Device Passcodes

A Strong password and device-specific access code provide additional security for the caregiver profile and mobile application authentication.

This feature is entirely optional, it will only be activated if you choose to activate it for your business. Once activated, carers link their account to a strong password, and then set up a handy passcode on their phone that works just like the old PIN code. It’s a simple shift that keeps client data safe and smart devices secure on the go!

Before you activate: Take a quick look at the steps below and give your care teams a heads-up about the switch.

How it works right now (Default):

  • Managers set up a username and a temporary PIN, then text or email it to the carer.

  • Carers log in using those details and change the PIN to their own choice.

Carers manage their PIN in their profile and can use Face ID or fingerprints if their phone supports it.

What’s changing if you choose to activate it?

  • Carers keep using their old PIN until their new strong password is created for the first time.

  • Managers will transition to creating a secure password in the system—the standard PIN creation option steps aside.

  • On first login, carers use the temporary password, then choose a permanent one.

  • Next, the carer set up their quick 4-digit device passcode for easy daily access.

Carers can manage both their password and passcode in their profile. Biometrics (like fingerprints or facial recognition) will still work perfectly!


Setting up your secure password and passcode


1. Generate a password: Head to the carer profile and click Generate. Nursebuddy will instantly whip up a strong, secure password for you. Prefer to choose your own? Just type it into the field, and our system will double-check that it’s strong enough.

2. Click the eye icon to see the password in plain text. Keep in mind: this password is temporary and the carer will need to update it the next time they log in.


3. Carer's first login: The carer logs into the app using their usual username and the new temporary password.

4. Make it personal: The app will prompt the carer to create and save their own permanent password.


5. Set the passcode: Next, the app will guide the carer to choose a secure, 4-digit device passcode that is easy for them to remember but hard for others to guess.


6. Easy daily access: From then on, the carer only needs their quick 4-digit passcode to open the app for their visits. (And yes, Face ID or fingerprint logins still work seamlessly!)



Frequently Asked Questions (FAQ)

  • Will my carers have to type this long, complex password every single time they open the app or get logged out mid-visit?

    For daily routine visits, they’ll just use their quick 4-digit passcode or biometrics—exactly like the old PIN. Nothing changes about their speed on the road. The app will only ask for the full password once every 12 months for a quick security checkup, or if you manually reset it for them in the office.

  • What if a carer needs to log in via a web browser or a backup system?


    Browser logins don’t use device passcodes, so they will need to type in their strong password. If they ever forget it, they can reset it easily using the Forgot password? link on the login page.

  • What happens if someone forgets their password when the 12-month checkup pops up?

    They can tap the Forgot password? link right inside the mobile app to reset it and get right back to work.

  • What if a carer gets a new phone?

    Their password stays the same because it’s tied to them, not the phone! However, they will need to set up a new 4-digit passcode for the new device.

    When they download the app fresh, they'll see a How to log in helper guide. Since they no longer use a PIN, they'll just tap the password option, log in once, and set up their new passcode:

  • We use shared company phones. Can we still use them, and does everyone share the same code?

    Yes, you can absolutely keep using shared devices! Multiple carers can use the same phone.During their first login, each carer will set up their own personal passcode on that device. Just like before, there isn't one shared code for the phone.

Quick reminder: Different passcode methods can be used on the same device. Carers can continue using their existing PIN while others use the new passcode format. Biometric logins (Face ID/Touch ID) aren't supported on shared devices.
