1. Head over to the Audits tab
Open up the Compliance Hub and tap into the Audits tab.
This area is designed specifically for logging two key types of quality checks:
Medication audits
Visit note audits
š” Good to know: This tab isn't a tool that performs audits for you. Instead, it is a central space to log, track, and prove that an audit has taken place.
2. Review past audits and their details
When you open the tab, you'll see a complete list of your historical audit records. At a glance, you can easily view:
The current Status
Whether any client notes have been written
If there are open action items tied to it
Click View on any line to check out the full audit details. You can also click directly into the Action box to quickly review client-specific tasks, follow-up requirements, or specific client notes.
3. View the audit type and related records
Inside the details page of an audit, you can instantly see whether the check was for visit notes or medications.
If you are looking at a visit note audit, you can jump in to view the clientās full visit note report, read the staff logs, and check on any outstanding action tasks attached to that specific review period.
4. Record a new audit
Go to Compliance Hub > Audits and click the New Audit button.
Choose your audit type: Medications or Visit Notes.
Use the calendar picker to select your desired date range.
Hit start to instantly generate your live audit workspace and client list!
5. Review your workspace and client list
Once your new audit begins, a clean summary dashboard will appear at the top showing:
The audit Title and Status
Who is currently carrying out the audit
Live progress tracking (how many clients you've checked so far)
Your complete, active client list will load directly below. From here, you can work through your clients one by one as part of your team's standard review routine.
6. Open the eMAR or Client Notes
To review a specific client, click the three-dot menu right next to their name. From here, you can directly launch their electronic medication administration record (eMAR) or Client Notes Report and inspect the information as you normally would.
Remember, this system documents your workāit records the fact that you have officially verified their records.
7. Add client notes after your review
Once you finish looking over a client's eMAR or Client Notes click Add notes to document your findings.
You can type your observations manually or use your device's microphone to dictate them on the go!
Notes can be up to 1,000 characters long, giving you plenty of room to log important details for compliance evidence.
8. Create an action item
If your review flags up an issue, you can assign a trackable action item. Make sure to include:
What needs to be done
Who is responsible for resolving it
When it must be completed by
An example: If you spot that a carer missed a medication administration, you can create an action item titled "Carer requires brief refresher on medication administration guidelines", assign it directly to your Care Manager, and set the due date for the end of August.
Because this is the very first version of our new auditing framework, the system does not send out automated alerts or push notifications.
Be sure to give your responsible team member a quick mention in person or via message, as the platform won't send them an automatic email reminder
9. Add multiple notes or mark tasks as complete
You can keep adding as many notes or extra action tasks to an ongoing audit as you need.
If an action item is successfully sorted out, simply log back in and tick it off as completed. You can also edit or delete notes at any time.
10. Step away and resume later
If you need to navigate away from the page before you've checked everyone, don't worry. Your progress is completely safe. The system will hold the audit in an unfinished state so you can jump right back in exactly where you left off.
11. Control the progress of your auditing task
If your internal policy requires auditing 100% of your clients, keep tracking until you hit 100% of progress. If you only audit a small sampling percentage, you can stop as soon as you hit your target.
When you are satisfied, simply click Finish (or Finish anyway) to officially wrap it up and lock in the compliance record.
12. View, edit, and manage a completed audit
Click View to check the historical data during an inspection.
Click Edit if you need to make an adjustment, and click Done when you're finished.
Audit integrity note: Editing a completed audit will never alter the original start and finish dates. However, the system will automatically log the "Last Edited" date to keep your compliance history completely transparent.
13. Use the Actions menu for high-level management
Open up the main Actions menu on an audit to:
Jot down general, over-arching audit notes.
View the security log to see who opened, reviewed, or edited the records.
Delete the audit completely if it was created by mistake.
14. Where to find it
Whenever you're ready to test it out, you'll find the audit tool sitting inside your Compliance Hub, located right next to Reports.
