Visit Cancellation Reasons and Payroll

New cancellation reasons are available in Nursebuddy and cancelled visits can be included in Payroll to give you greater flexibility

Together with the existing list of cancellation reasons, we now added new options that you can select when cancelling a visit together with the option of choosing if the cancelled visit will be paid and included in your payroll.

Cancellation Reasons settings 

Admins user roles in Nursebuddy will be able to access all cancellation reasons via Settings > General Settings > Visit Cancellation

In the Visit Cancellation setting, the Admin will be able to select which cancellation reasons will be available in the cancellation reason list by ticking the box. Alongside this, they can select if one or more cancellation reason will be added to the planned time of the visit in the payroll report by default:

In addition to the already existing "Cancelled under 24 hours" reason, you will find a new set of cancellation reasons for those visits that have been cancelled in less than or greater than 24 hours:

Cancelling a visit

To cancel a visit, the visit has to be assigned to a carer.

  • Selecting the paid time from the cancellation modal:

Whenever you cancel a visit either from the schedule page or from the service's user calendar, you will now see the option: Paid for planned time. This option will add the planned time of that cancelled visit into the Payroll:

  • Selecting a cancellation reason that by default add the planned time to the Payroll

If for example, you had a visit scheduled for 1 hour and this get cancelled under 24 hours and the option Cancelled under 24 hours is ticked in Settings as Always pay for planned time you will pay the carer for the entire 1 hour duration of the visit planned time and the option No Payment won't be visible for that cancellation reason modal

  • Visit List Report

For any cancelled visit, you can also go to the Visit List Report, find the cancelled visit or visits and see the information of the cancelled visit and whether it will be visible in the Payroll report or not based on your selection when cancelling the visit.

  • Cancelled visits- Invoicing

It is important to note, that the duration of a cancelled visit for invoicing purposes is independent of this paid time function. You can select a custom billing time for invoicing and at the same time also select to pay for planned time for the visit

Please note that at the moment there is not an option to add a custom paid time for cancelled visits only Planned time or No Payment

  • Payroll report

If you have chosen the option to pay for the visit planned time, this will now appear in your payroll too.

You will be able to see the cancelled visit in grey and the visit status + cancellation reason when generating the payroll report (Select the Visit Status from the Select Fields menu).

Please note that mileage will not be calculated for cancelled visits so this will come up as 0 once the payroll report is generated.
