Streamlining Your Billing: The Invoicing Module

Ready to simplify your month-end? Before you can generate your first invoice, there are a few simple setup steps to ensure your rates and contacts are perfectly aligned.

1. Step 1: Set Your Rates

First, define your Products in account settings. These represent your different hourly rates (e.g., Weekday Care, Bank Holiday), read more here.

Once these are applied to your client schedules, the system knows exactly what to charge.

2. Step 2: Assign Invoice Contacts

Decide who receives the bill. You can set up Invoice Contacts to bill a family member individually or group all your Council visits onto one single master invoice. You can find more here.

3. Step 3: Customise Your Template(optional)

Make it your own! Go to Settings > Invoicing > Invoice template to add your logo, payment terms, and custom footer notes.


Generating Your Invoices

Navigate to the client visit list report, nd select the client and date range you wish to bill.

Note: you can also filter by different invoice contacts. 

By default, Nursebuddy bills the planned duration. If you need to charge for actual time instead, you can easily override these figures by editing the report

When everything looks correct, click Actions > Create Invoice.


Your invoices will download as a PDF. If you’re billing multiple contacts at once, Nursebuddy neatly packages them into a ZIP file for you to email or print.
