Using Tasks to Create Custom Forms

Use Nursebuddy's Custom Tasks functionality to create forms

If you'd like to create custom forms in Nursebuddy, you can do that using the Tasks functionality. You are then able to report on the contents of these via the client's diary feed or dedicated Task History tab in the client profile.


Creating Custom Forms with Tasks

  • Go to Settings > General settings > Tasks

  • Click the Add new task button

  • You will be prompted to give a name to the task and to add one or multiple actions for the task

Action Types

  • Check box: this action will allow the carer to select 'done' or 'not done'

  • Notes: use this option when you want your carers enter text

  • Dropdown list: Create your own drop down list so carers can select from the options you added

  • Record Value: Use this action type when you want carers to enter a numeric value only (Max of 1000), you can also define the units

  • Photo: Ask your carers to take a picture as evidence or for other purposes (remember to respect client's privacy and follow GDPR guidelines)

  • Digital Signature: this option is great for when you need to collect signatures from your carers or clients to confirm or get consent. They will use their finger in the phone's screen to sign

  • Medication Administration List: this action will show the list of active medicines of the client to report them as given or not given. Our Medication Administration task created by default in your account, already contains this action but if you prefer to use another name for this task, you could create your own task and add to it this action type

If you need your Actions to appear in a specific order, you would need to number them with the following format: 01, 02, 03, 04...., 10, 11, 12, etc

Note: you can't edit a saved task. If you make mistakes, you must change the status of the task to "Inactive" and create a new one.

Below you can find an example on how to build a custom task for Catheter check, where we used a mix of action types and where we also used numbers so that the task actions appear in a specific order. 


Assigning Tasks to Visits

  • Go to the relevant client's profile and click the Calendar tab

  • Amend an existing visit by clicking on it, or create a new one

  • In the Tasks field, type the name of the task you have added and select it

Once you have saved the visit, it will now be available for the assigned carer to complete.

Pro tip: Allow your carers to add tasks straight from their app, this will help in cases where an extra task is needed that wasn't originally added to the visit, for example for a skin check.

Go to Settings>Carers>Mobile App>Visits and tick the box Carers can add additional task(s) to visit


Reviewing Form Entries

  • Go to the client's profile and view their Diary tab

  • Click on a visit and task entries will show here:

  • You can also access the same information in list form from the Task history tab

  • If you have added a digital signature or photo fields to the task, you can click on the preview to enlarge these:

  • The same information for the text field-based actions can also be accessed from the Client Visit List report under Task values report (selected from the report type drop-down list).
