Use Nursebuddy's Custom Tasks functionality to create forms

Using Tasks to create custom forms is a super smart way to capture all the specific information you need

Want to create your own bespoke forms in Nursebuddy? You can do this easily using the Tasks functionality. You'll be able to review the entries through the client's Diary feed or the dedicated Task History tab in their profile.


Creating Custom Forms with Tasks

  • Go to Settings > General settings > Tasks

  • Click the Add new task button


  • You'll be prompted to name your task and add one or multiple actions.

What Kind of Action Types Can I Use?

  • Check box: Carers can quickly select 'done' or 'not done' for simple tasks.

  • Notes: Perfect for when you need your carers to enter detailed text.

  • Dropdown list: Create a custom list of options for carers to select from.

  • Record Value: Use this for numeric-only inputs, and you can also define the units (e.g., kg, ml).

  • Photo: Ask your carers to take a picture for evidence or other purposes (remember to follow all privacy and GDPR guidelines!).

  • Digital Signature: A great option for collecting signatures or consent from carers or clients using their finger on the phone's screen.

  • Medication Administration List: This shows the client's active medication list, allowing carers to report them as given or not given. Your default Medication Administration task already uses this, but you can create a custom task with this action if you prefer a different name.

Pro-tip: If you need your actions to appear in a specific order, just number them using the 01, 02, 03 format (up to 10, 11, 12, etc.).

Important: You can't edit a task once it's saved. If you make a mistake, you'll need to change the task status to "Inactive" and create a new one..

Below is an example of a custom task for Catheter check, where we've used a mix of action types and numbering to ensure a specific flow.


Assigning Your Custom Task to a Visit

  • Go to the relevant client's profile and click the Calendar tab

  • Amend an existing visit by clicking on it, or create a new one

  • In the Tasks field, type and select the name of the task you just created.

Once you have saved the visit,It will be available for the assigned carer in their app!

Pro tip: Allow your carers to add tasks straight from their app. This is super helpful when they need an extra task that wasn't planned—like a skin check!

Go to Settings > Carers > Mobile App > Visits and tick the box.Carers can add additional task(s) to visit


Reviewing Your Task Form Entries

  • Go to the client's profile and view their Diary tab

  • Click on a visit and task entries will show here:

  • You can also view this same information in a list format from the Task history tab.

  • If you used a Digital Signature or Photo field, you can click on the preview to enlarge it.

Need a full report? The data from the text field-based actions can be found in the Client Visit List report, under the Task values report option.
