How to inactivate profiles (Clients, Carers and Office Staff)

Archive a profile when they are no longer needed

For traceability purposes, client, carer, and office staff profiles created in Nursebuddy cannot be removed. Instead, you archive them. Archiving a profile ensures they cannot access the Nursebuddy system once they are no longer active.

This ensures that all historical data and records associated with a profile remain intact, maintaining compliance and traceability.

Inactivating a Profile

To archive a profile, follow these simple steps:

When Inactivation Takes Effect

Client

  1. Open their profile using 'Edit'.

  2. Under Status, select 'Archive client'.

  3. Set the date when the profile won't be needed.

  4. Click 'Save'

The profile will move to the archived list at midnight on the end date you set.

Carer

  1. Open their profile using 'Edit'.

  2. Move the button from Active to Archived. Then click 'Save'.

Inactivation will happen immediately.

Office Staff

  1. Open their profile using 'Edit'.

  2. Move the button from Active to Archived. Then click 'Save'.

Inactivation will happen immediately.

Client Example

Carer Example

To archive a carer in Nursebuddy, follow these steps:

  1. Navigate to the carer’s profile within the Nursebuddy application.

  2. Locate the status setting in the profile.

  3. Change the status from Active to Archived.

  4. Click Save to confirm the changes. Once archived, the carer’s profile will be moved to the archived list, and they will no longer have access to the Nursebuddy system.
