By tracking the maximum hours that carers are allowed to work, home care companies can ensure that their clients receive the support they need without overexerting the carers. This limit helps to reduce stress and fatigue among their staff, which contributes to healthier and more successful outcomes for individuals being taken care of. But also for part-time staff for example, tracking the maximum of working hours will help to comply with local and government regulations.

Set the tracking period of your company

  1. In Settings>Carers>Working Hours Limit select what period of time your company use: Weekly, Bi-Weekly or Monthly

  2. If you select Bi-Weekly make sure to set up when the bi-weekly cycle would run from:

Please note that every time you change your tracking period, the maximum and minimum of working visit hours in each carer's profile has to be adjusted to match the new tracking period selected.

Define the minimum and maximum amount of hours for each carer

  1. In Carers List open each of your carer's profile and set up the minimum and maximum amount of hours the carer will be allowed to work for your tracking period:

Any amount previously entered will be kept in the Maximum Working Hours field in this new version.

Monitor the assigned working visit hours in the Scheduling page

Let's see one example:

Maria can only work a maximum of 10 h per week. Her company tracking period is weekly.

The manager was working in her rota and one alert was generated (red alert icon next to the carer's name) in the Scheduling page. When the manager clicked on Maria's name the pop over showed the manager that for the week of 19 to 25 June Maria's has overpassed her maximum of working visit hours for 1h and 45min:

When the limit is about to be reached, the system will alert managers with a small alert icon in orange, next to the carer's name:

This way the manager can decide about the amount of hours currently assigned to carers.

Tracking the assigned hours in the Carer's calendar

In the carer's calendar you can also monitor the number of hours assigned for the tracking period.

Tip: Use the 2 weeks or 4 weeks view to better visualise the information
