Cancelling Your Nursebuddy Subscription

Moving on from Nursebuddy? We’re sorry to see you go, but we want to make sure your transition is as smooth as possible. Here is everything you need to know about closing your account and securing your data.

Whether you’re on a monthly roll-out or an annual contract, you’ll just need to head over to the web portal to officially cancel your subscription

!!️ Just a quick heads-up: your cancellation will be processed in line with the billing terms agreed upon when you first joined us. For example, if your billing date is the 23rd of the month and you cancel on the 6th, the final invoice will still be issued on the 23rd.

How to cancel 🔚

  1. Log in to your Nursebuddy portal.

  2. Head to Settings > My Organisation > Subscription.

  3. Click 'Cancel Subscription' and follow the prompts.

  4. Complete the short form and hit 'Submit'.

Managing your data 📉

Maintaining your records is vital. You have full access to download your information directly from the web portal before your account closing date. Ensure you have sufficient time to complete any necessary data export or offboarding tasks.

You can download your data using all or some of these options:

  • Data Export: Quickly grab lists of clients, carers, and contacts.

  • Reports: Download visit history, payroll, invoices, and carer notes.

  • Profiles: Manually save specific care plans, risk assessments, eMAR, and attachments.

A quick reminder: Nursebuddy doesn’t offer a manual data download service, so please ensure you’ve gathered everything you need before your access ends. If you need to access data after your account has closed, a £80/€80 per week extension fee will apply.


Understanding your final steps 💭

Depending on your plan, here is how your notice period and final billing will work:

  • Monthly Subscriptions: Once you cancel your subscription, Nursebuddy will issue one final invoice on your next billing date. For example, if your billing date is the 23rd of the month and you cancel on the 6th, the final invoice will still be issued on the 23rd. This ensures your account remains active for an additional billing period, allowing you to complete any necessary data export or offboarding tasks.

  • Annual Contracts: If you're on an annual plan, you’ll remain responsible for the remainder of your term. You can choose to settle the balance in one go or continue with your monthly payments until the contract concludes.

What happens next? Once your final billing cycle ends, your account will be deactivated. You’ll have full access until that final day, after which the web portal and carers app will no longer be accessible for you and your team. During the 30-day period after the final invoice is issued, you can access the system to download your data using the Export Data function.
