How to create shadowing visits

Usually when a carer starts in the company or they are introduced to a new service user, a senior carer will show them how to carry out the tasks during the visit.

Also, it is very common that only one of these visits is invoiced but both carers will be paid. 

To achieve the above, you need to create two separate visits but with the same start time. Both visits can have the same duration or one visit can last less or as you decide it.

Do not use double handed visits for shadowing purposes because if you remove the billable time for one of the carers that carer won't appear in the Payroll report.

Please follow these steps to create the shadowing visits :

  1. Create 2 visits in the client's calendar with the same start time

  2. In each visit add the right instructions for both trainer and trainee

  3. Remove the invoice product information from one of the visits, this way the visit won't be included in the invoice

  4. Alternatively, you can also create an invoice product called ''shadowing'' where your rate will be £/€ 0 for all the days of the week, including Bank Holidays

  5. By creating a product, you will also be able to see shadowing visits in your Visit List report

In the example below, you can see the visit assigned to the senior carer, with an invoice contact and product included in the visit

Here instead you can see the visit assigned to the new carer, where the invoice contact is empty and the product can either be empty or ''shadowing''

💡Pro tip: Note in the image that you can create a custom task and add it to visits to ask your carers a signature confirming they have read client's care plans and risk assessments. This will be stored digitally in the Client's history tab and you can show these during audits. Find more info here

Now both visits can be completed by the 2 carers assigned and only one will be invoiced while both of them will appear in the payroll report.
