Whether it’s onboarding documents, internal guidelines, or updated safety processes, file attachments help keep everyone in the loop and your information flowing smoothly.
Visibility: Who sees what? 👀
Before you start uploading, it’s worth remembering how visibility works:
Manager notes: These are always strictly internal. Your carers cannot see these.
File attachments: You have total control! You can choose to make these visible to the carer or keep them private, setting permissions file by file. 🔒
How to upload an attachment 📄
Select your carer: Go to People -> Carers and click on the carer you’re looking for
Find the tab: Head over to the File attachments tab.
Add a file: Click the "Add file attachment" button
Set permissions: Select whether you want to share the file with the carer or keep it for manager-only eyes.
Upload: Choose your file, and you're good to go! Kiitos (thanks) for keeping your team informed!
Once the file is added, it will appear in your list. To make things super easy, we’ve added a quick way to check your privacy settings at a glance:
The Checkmark ✔️: Look for the small checkmark next to the file name. This tells you that the document is viewable on the mobile app for your carer.
No Checkmark ✔️ ? If it’s not there, the file remains private—only accessible to you and your fellow managers.
It’s a simple way to double-check that the right information is reaching the right people! ✅
How carers access their files 📱
Great news! Your carers can access any documents you’ve shared with them directly from the Nursebuddy for Carers app. It’s their "pocket encyclopaedia" for everything they need on the job.
Where to find them 📍
To view their shared files, carers just need to:
Open the app and log in.
Head to the "My Profile" page via the 3 lines at the right hand top of the screen
The documents will be displayed in alist on that screnn
Tap on "Shared with you" to open the documents you’ve made visible to them.
Just so you know...
Instant updates: As soon as you upload a file and mark it with that helpful checkmark, it’s available for them to see. No more printing or emailing attachments! 📧
Always available: Whether they're at home or out on a visit, they'll have the latest guidelines and training materials right at their fingertips. shot - check html open in HP
Editing an attachment ✏️
Settings change, and that’s okay! If you need to update who can see a document or remove it altogether, it only takes a few clicks.
To manage an existing file, head back to the File attachments tab on the carer’s profile.
Changing permissions: Want to hide a file you previously shared? Or perhaps make a private note visible to the carer? You can toggle the view permissions at any time to update what they see on their app.
Removing a file: If a document is out of date or no longer needed, simply select the delete option to clear it from the list.
