Setting up your client's family portal access

Adding a contact

  1. Go to a client's profile and click their Contacts tab.

2. Click Add contact button

3. You can now choose to add a new contact (a) or select from your existing list (b). The system notifies you if an existing contact is already assigned to a client (c).

4. Click Create new contact to add a new contact to the system.

5. Add the contact's details (first and last name are mandatory), and select the type of contact from the Contact type drop-down menu.

Adding one contact in Multiple Clients

The system only allows you to add one email per contact. If you are trying to add a contact to one of your clients and you cannot proceed because an error message, it is very likely that contact already exists with that email. In that case instead of creating a new contact, trying to search for that contact in the list this way all the information of that existing contact will be filled out automatically.

For Family Portal purposes, the contact will be able to access to all the Family Portals using the same credentials, no need to create separate usernames and pin codes.


Access to the Family Portal

After adding the details above, you can choose if (and how) you want to grant access to the family portal.

You can either send an email invitation to the family portal now (this will use the email address if entered in the last step).

Or you can define an username and a pin-code for the family member.

You will now see the contact in the client's list of contacts. You can click the button with three dots to the right of a contact to choose to edit the contact, revoke access to the portal (if access already granted), or resend the invite notification.

If you want that family members or contacts with access to the Family Portal can add notes you need to enable this from Settings: Settings> General Settings>Family Portal Access, remember to click "Save" after any change in Settings.
