Admin User role

The user role that will give you full access to the system

Written by Rocio Solis

Your Nursebuddy account starts with one Admin user, based on the details you shared when you first signed up.

Remember that Nursebuddy does not charge for the number of users. You can create as many Admins or other user roles as you wish at not additional cost.

To help your team get started, you can easily add more staff members by going to People > Users. In the Actions menu, you can choose the role that fits their job responsibilities best:

  • Admin: Use this for team members who need to see everything, including payroll reports and all system settings.

  • Other office Roles: Choose from Manager, Client Coordinator, Enquiry Admin, Specialised Manager, Financial Manager, or Care Coordinator.

Each role has different access levels to keep your data secure. If you're not sure which one to pick, check out our guide on Nursebuddy User Roles to find the perfect fit.

Keeping your account secure

To keep your homecare service running smoothly and safely, we recommend following these simple tips:

  • Use real names: Please don’t use generic names like "Manager" or "Admin." Using real names makes it easy to see who made changes in the system, which is great for accountability.

  • Keep passwords private: Passwords are just for you! Sharing them can lead to security risks.

  • Unique emails: Each person needs their own email address. Nursebuddy doesn't allow the same email to be used for more than one profile. If you need to use an email in multiple user profiles, either leave the email info blank or create an alias if your email provider allows it. For example, if your email is john@carecompany.co, use john+1@carecompany.co to receive notifications in the same inbox.

Quick tips for managing profiles

  • Dual roles: If a staff member is also a carer, they need a separate user role and separate login details.

  • Admin powers: Admins can update roles, edit login details, or archive users at any time by editing their profile.

  • Need to reuse an email? If an email is linked to an old account, it can't be reused unless the administrator updates the original profile first.

  • Password resets: Admins can quickly reset passwords for carer profiles or other user roles whenever needed.
