Setting up a New Client in Nursebuddy

Here's how to create a new client profile, covering all the essential steps

Create the Client Profile

We need to capture the basic information first:

  1. Go to People and then Clients.

  2. Click on Actions > Add Client on the right-hand side to build your new client profile.

  3. Fill out the General info tab with the client's basic information

  4. Add an image of your service user if you have one

Remember that any information next to the phone icon will be visible in the carer's app.


Add the Address

It's indispensable that the address is accurate, as this connects to your carers' check-in/check-out locations.

  1. Go to the Address Tab.

  2. Add the client's address. When you do, a pin will appear on the map.

  3. Confirm the pin is in the correct location. You can switch the map view to Satellite to help, or you can drag and drop the pin manually to the precise spot.

4. You can also add more detailed information about accessing the client's home, the accommodation type and any accommodation info.


Service Tab: Tailoring the Client's Care

The Service Tab is where you can fill out more detailed information about your client's care structure. Not every field might be relevant, so just complete what is necessary for you.

Basic Info

This section captures essential service-related dates and team assignments.

  • By adding a service end date you can automatically 'archive' your clients in the future.

  • Teams and Health care region is an optional field

Invoicing

This ensures that the client's care is linked to the correct billing details.

  • Default invoice contact and product are optional fields. If your client only has one invoice contact for all their visits, adding that information here will automatically fill out these details in every visit.

  • Before using these options, you'll need to set up your invoice contact and product in your Settings to see them in the drop-down list.

Carers

This section helps you manage preferences for the individuals providing care.


Enhance the Client's Health Profile

You can use the Health Tab to add optional but important medical information:

  1. Go to the Health Tab.

  2. This allows you to add information regarding the client's condition.

  3. Any Allergies information, DNAR (Do Not Attempt Resuscitation) or assistive equipment you add here will be shown in the carer's app

  4. When someone enables or disables the DNAR, the system automatically records who did it and when, providing a clear digital trail

  5. If a client has a specific need that requires detailed steps for your carers, you can use the Extra task(s) with instructions feature to add clear, simple instructions:

Example: For a Care Plan Review task, you can instruct carers to ensure they review any recent changes to the plan, like in the screenshot below.


Highlight Medication contacts

This section helps you provide your team with quick access to important external contacts related to the client's medication needs:

  1. Go to the Medication Contacts section.

  2. Here, you can add details such as the pharmacy for refills and their phone numbers for easy access.


Complete the "About Me" Section

This section is designed to provide a comprehensive understanding of what truly matter to the individual, their loved ones and the best ways to support them.

For carers, this offers valuable insights into a client's preferences and needs before a visit, helping foster meaningful connections and spark conversations.

This section is replacing the ''Personal Info'' tab, any items that you added there before can be kept or discarded permanently with the trash icon.

An info icon will also help you with suggestions of what you can include for each section.


​Carers using the mobile app can also easily access the ''About Me'' under the client profile.
